Mailbox Quota Management
Whenever new mail is added to your mailbox on the mail server, the quota is checked. You need to keep your mailbox under quota limit at all times to ensure reliable email communication. If you received a Quota Warning, this means that you have used up your quota or you are about to go over limit. You should delete messages from the server to free up some space in your mailbox.
To check the status of your mailbox quota:
Login into WebMail at http://webmail.kenyon.edu (your account usage is displayed as a percentage of your mailbox quota in the gray bar near the top of the page).
To keep your mailbox quota under limit:
· Regularly remove certain kinds of email messages from your mailbox. Best candidates for removal are: all emails in the DELETED or TRASH folders, some emails in the SENT or SENT ITEMS folders, and emails with attachments (especially images). Most of the time emails with attachments occupy the largest part of mailboxes.
· Purge your messages after deleting them. To remove emails from your mailbox, first delete the email messages you don't need and then remember to purge the deleted messages in order to remove them completely from your mailbox. For instructions in configuring your particular mail client to efficiently handle the deletion of messages, see Cleaning Out Your Inbox and Handling Deleted Messages.
· Delete multiple messages all at once to make deleting quick and easy. Most mail clients have the ability to quickly delete a group of messages at one time. For Kenyon WebMail please see here. If you need assistance with multiple deleting, call the HelpLine at 5700 or the LBIS liaison for your department.
· Archive email messages you wish to keep by copying them to another medium, such as your hard drive, a CD or Zip disk. See Archiving Email Messages to Other Media for instructions in how to save email messages to a backup medium.
