Introduction

Kenyon provides more than 1600 email distribution lists for particular groups of Kenyon students, faculty, administration and staff. Most of these are generated daily from the Registrar and Human Resources databases.

Membership in Kenyon email distribution lists is either mandatory or optional. People on mandatory lists cannot remove themselves from the list. People on optional lists can remove themselves from the list. In some cases, people can join optional lists. Most email lists at Kenyon have mandatory membership by their nature, because they are automatically regenerated from the Registrar and Human Resources databases each day.

Kenyon email distribution lists can be either open, closed, or moderated. An open list is one to which anyone at Kenyon can send a message. A closed list is one to which only members of the list can send. A moderated list is one to which anyone can send, but where all messages are reviewed by a moderator before being delivered. Most email lists at Kenyon are open.

Moderated email Distrubution Lists

A moderated list is one to which anyone can send, but where all messages are reviewed by a moderator before being delivered. The purpose of moderation, in general, is to make sure that the messages sent to the list are in keeping with the purpose and focus of the list. For example, a list created for the discussion of John Milton's poetry may be moderated to eliminate messages sent to the list to sell a used car or post new discoveries in quantum mechanics. At Kenyon, almost all moderated lists are moderated so that only messages associated with College business are sent to the lists. General moderator guidelines for what is appropriate can be found here.

Email Distribution List Characteristics

• administrative/staff, including administrative divisions
• faculty, including academic divisions and departments
• students, including student classes and residences
• academic courses
• advisees, by faculty member
• departmental majors, minors and concentrations

Maximum Sizes: Messages sent to public email distribution lists have a maximum size limit, which is generally 50,000 characters (50KB). These limits are an important protection to prevent all mailboxes being filled by some extremely large message. Sending an attached image or a large document to a public list may fail to be delivered because the message limit is exceeded. If you are a faculty member and you would like to have a specific class list message limit increased, please contact LBIS.

On Campus Only: Use of public distribution lists is restricted to on-campus users only. Attempts to send e-mail any of these lists from off-campus accounts will fail.

Email Distribution Lists

The following table lists the most used email distribution lists. New lists and changes to lists (since October 15th, 2003) are highlighted. More description of the changes can be found here.

Advisees Mailing Lists

Email lists for advisee by faculty member are also automatically generated daily. These lists are named according to the faculty member who is the advisor, using the faculty member's preferred firstname and lastname, in the form firstname.lastname.advisees@kenyon.edu.

For example, the list of all students who have John Idoine as advisor are found in john.idoine.advisees@kenyon.edu.

These lists are generated from the Human Resources data in the Banner administrative database. The "preferred firstname" is actually a field in this database, and it is not necessarily the same as the "firstname" field. For example, William Klein's preferred first name is Bill, so the list of all students who have Bill Klein as advisor are found in bill.klein.advisees@kenyon.edu NOT william.klein.advisees@kenyon.edu.

In another example, Mary Fennessy prefers to use Siobhan, her middle name, so "Siobhan" is designated in the databases as her "preferred firstname" and her advisees can be reached via siobhan.fennessy.advisees@kenyon.edu.

If a faculty member determines that the current "preferred firstname" is not preferred, please contact Human Resources (email: hr@kenyon.edu or 5173) for changes.

Majors, Minors, and Concentrations Mailing Lists

E-mail lists for majors, minors, and concentrations are available. These lists are automatically updated on a daily basis based on information in the Registrar's database.
