Information for College Departments Sponsoring a Speaker
The LBIS HelpLine receives many requests from College departments to give technical assistance to speakers who will be using Kenyon's multimedia equipment during their presentation. The HelpLine should be your first point of contact for this kind of assistance, and any reqeusts should be made at least one week in advance of the presentation. The information below is provided to help you get the assistance needed so that the speaker has a smooth, successful presentation.
- Before calling the HelpLine, here are some preliminary things to do:
- Give the speaker the document titled Information for Speakers Giving a Presentation at Kenyonthat describes what information is needed from them for a successful presentation. It is found at: at: http://lbis.kenyon.edu/helpline/avequipment/givingapresentation
- Ask the speaker for the following information that will be needed by the HelpLine when you call to request technical assistance.
- Name, phone number and email address of speaker (if LBIS needs to contact).
- Date, time and location of the presentation.
- The kinds of multimedia or computing equipment needed for the presentation.
- Whether the speaker wants an LBIS student employee to assist at the presentation.
- The software (including version no.) being used in the presentation (examples: Windows PowerPoint 2003, Mac Word 2004).
- Whether a Kenyon network or Internet connection is needed.
- If a laptop is used in the presentation, whether it requires audio capability.
- Whether the speaker plans to use a personally-owned laptop for the presentation. If so, whether it's a Windows or Mac, and the model and operating system of the laptop (examples: Dell Latitude- Windows XP or Apple iBook-OSX 10.3)
- Reserve the room and the multimedia equipment needed for the presentation:
- Find out whether the reserved room contains the multimedia or computing equipment the speaker needs for the presentation. Go to Instructions for Classroom/Auditorium Audio Visual Equipment at https://lbis.kenyon.edu/classtech to find information about the multimedia equipment that is installed in that classroom. AV-equipped classrooms are listed there by building name and room number.
- If the room does not contain some of the multimedia equipment needed, you may be able to reserve it through the Circulation Desk at 5187. A list of equipment that can be borrowed is in AV Equipment Available for Loan from Circulation at: http://lbis.kenyon.edu/circ/equipcirc.phtml.
- Reserve the room by contacting the appropriate person listed on the KCEvents web page at http://kcevents.kenyon.edu/splash.html
- Find out whether the reserved room contains the multimedia or computing equipment the speaker needs for the presentation. Go to Instructions for Classroom/Auditorium Audio Visual Equipment at https://lbis.kenyon.edu/classtech to find information about the multimedia equipment that is installed in that classroom. AV-equipped classrooms are listed there by building name and room number.
Then call the HelpLine to request technical assistance:
- Ask to speak to Julia Glynn or Karen Gordon about your request and be ready to provide the information obtained from the speaker (listed above).
- If a Kenyon loaner laptop is needed for the presentation, you must reserve it through the HelpLine at least one week in advance (subject to availability). Note: The laptops are picked up at the Circulation Desk and your Kenyon ID is required.
- If the speaker would like to have a student employee assist at the presentation, the HelpLine must be given notice at least a week in advance.
- If the speaker is planning to use a personally-owned laptop, LBIS will try to make it work with our projection system, but we cannot guarantee it. Each brand of computer has its own method for synchronizing the computer display with a projector's display. Our experience is primarily with Dell Windows 2000/XP laptops and Mac OS X computers.
However, there is a backup plan! We strongly recommend that speakers bring with them a copy of their presentation on a CD so that it can be used in a Kenyon-owned computer if their personal laptop doesn't work with Kenyon's audio-visual equipment. We have MS-Office 2003 software installed on our Windows computers, and our Macs have Office 2004 for Mac.
